The problem

Policy and procedure documents circulate for review several times before anyone examines the substance, because reviewers spend their first pass correcting structure, missing mandatory sections, inconsistent terminology and unapproved clause wording. Review cycles lengthen, and the reviewers with the most subject knowledge spend their time on formatting.

Our approach

A Copilot Studio agent is grounded on the document standard, the approved clause library and the current template set. Authors submit a draft and receive a structured report: missing mandatory sections, clauses that deviate from approved wording, terminology inconsistencies and unresolved placeholders. The agent proposes corrections but does not apply them; a human author accepts or rejects each item. Approved documents publish to SharePoint with metadata that drives retention and review scheduling.
